Not a good idea

Producing a show as a fund raiser is not a great idea. I remember fielding several requests/year (when I worked at a major licensing house) from novices thinking that doing a show is a terrific route to raise revenue.

Generally, it is not. Often novices' vision is clouded by the aspect of 'free' talent. Their altruism is further clouded with the belief that everyone should donate to their cause: from designers, musicians, theater owners, lumber yards, authors, licensing agencies, etc.

My opinion: it would be complete folly for novices to attempt BATB for the sole purpose of raising money for a worthy cause.

As mentioned elsewhere in this thread: start small. Do a revue: either licensed or of your own creation. Minimal sets, orch, costumes, labor.

But as an answer to a portion of your question re: licensing fees for BATB for a one calendar week production for BUDGETING purposes only I'd advise allowing ~$600 for rental materials plus ~20% of ticket sales for royalties. (This assumes you're planning on using the Disney version of BATB.) If ~20% of your ticket gross per perf is less than $125, substitute $125 as a minimum per perf.
